Privacy policy
Last updated: 14 October 2026
This explains what personal information we collect when you get in touch or use this website, what we do with it, and your rights. In short: we only use your details to deal with your enquiry and any work we do for you. We never sell them or use them for marketing.
Who we are
Cosy Control is the trading name of Kristopher McBride, a sole trader based in Belfast, Northern Ireland. He is the “data controller” responsible for your personal information.
Questions about your data: email [email protected].
What we collect
- When you ask for a quote through the website form: your name, phone number and/or email address, postcode, property type and anything you write in the message box.
- When you contact us another way, by email, phone or WhatsApp: your contact details and whatever you tell us.
- When we survey or do work for you: your address, details of your heating system and the work, and records of quotes, invoices and payments.
- When you visit the website: our hosting provider automatically processes technical data such as your IP address and browser type to deliver the site and protect it from attacks. If you accept analytics cookies, Google Analytics also records how you use the site (see Cookies below). We don’t use advertising cookies.
Why we use it, and our legal basis
- To reply to your enquiry, arrange a survey and give you a quote. This is a step you’ve asked us to take before entering into a contract.
- To carry out and support the work you’ve booked, including aftercare. This is needed to perform our contract with you.
- To keep accounts and tax records. This is a legal obligation.
- To publish a case study about your job, only if you agree. We never publish your name, street or house number, and only use the general area (for example “Castlereagh, Belfast BT5”). You can withdraw your consent at any time and we’ll take it down.
Who we share it with
We don’t sell or rent your information, and we don’t pass it to anyone for their own marketing. We use a few trusted service providers who handle it on our behalf, only to provide their service to us:
- Cloudflare: hosts this website and protects it from attacks.
- Brevo: delivers the emails sent from our quote form.
- Google (Gmail): our email, where enquiries are received and answered.
- WhatsApp (Meta): if you choose to message us on WhatsApp.
- Google (Analytics): only if you accept analytics cookies, to show us how the site is used.
We may also share records with our accountant and HM Revenue & Customs where the law requires it.
Some of these providers may process data outside the UK. Where they do, they use safeguards recognised under UK data protection law, such as the UK International Data Transfer Addendum or the UK–US data bridge.
How long we keep it
- Enquiries that don’t go ahead: deleted within 12 months.
- Customer records (quotes, invoices, job details): 6 years after the work, as required for tax.
- Case studies: until you ask us to remove them.
Your rights
Under UK data protection law you can ask us to:
- give you a copy of the information we hold about you
- correct anything that’s wrong
- delete your information, where we don’t need to keep it by law
- restrict or object to how we use it
- send it to you or someone else in a common format
- withdraw consent you’ve given, for example for a case study
Email [email protected] and we’ll respond within one month. There’s no charge.
Complaints
If you’re unhappy with how we’ve handled your information, please tell us first so we can put it right. You also have the right to complain to the Information Commissioner’s Office (ICO), the UK’s data protection regulator: ico.org.uk/make-a-complaint or 0303 123 1113.
Cookies
Analytics cookies (only if you accept). We use Google Analytics to see how many people visit, which pages they read, roughly where they are and how they found us, and whether they call, message or send a quote request. It sets cookies starting _ga that last up to 2 years. Google Analytics isn’t loaded at all until you choose “Accept”. Our legal basis is your consent.
You can change your mind at any time: open cookie settings. Your choice is saved in your browser so we don’t ask again on every page.
Strictly necessary. Our hosting provider may set a security cookie to tell real visitors apart from bots; it isn’t used to track you. We don’t use advertising cookies.
Changes to this policy
If we change how we use your information, we’ll update this page and the date at the top.
